Overview
Retail Pulse is a field sales and order booking management application developed and operated by Vengurla Tech Pvt. Ltd., a company registered in India.
This Privacy Policy explains what personal information we collect when you use the Retail Pulse mobile app, why we collect it, how we use it, and the choices you have. By using Retail Pulse, you agree to the practices described in this policy.
Who Uses Retail Pulse
Retail Pulse has two types of users within each company account, each with different roles and data access:
Data We Collect
We collect different data depending on your role in the app. All data collected is strictly necessary for the app to function.
Admin — Company Registration Data
- Company name, owner name, mobile number, email address
- Company address and GSTIN number
Admin — Employee Data (entered by admin)
- Employee name, phone number, and address
- Identity proof document (e.g. Aadhaar, PAN) uploaded during employee onboarding
Admin — Product & Business Data
- Product names, units, and pricing added by the admin
Employee — Activity & Location Data
- GPS location at check-in (start of workday)
- GPS location when punching into a shop visit
- GPS location at check-out (end of workday)
- Shop details added manually by employee (no automatic location on shop creation)
- Orders taken at each shop during the day
- Daily attendance records
Employee — Camera & Photo Data
- A selfie photograph captured by the employee's front camera at the time of each shop visit punch-in
- The selfie is linked to the corresponding shop visit record, including the timestamp and GPS location of that visit
Automatically Collected
- Device model, OS version, and app version (via analytics)
- App usage patterns such as screen views and crash reports
How We Use Your Data
Your data is used solely to operate and improve the Retail Pulse platform. Here is how data is used for each role:
For Admins
- To create and manage the company account and product catalogue
- To register and manage employee profiles and access
- To view employee attendance records
- To view the full daily route of each employee — from check-in location, through each shop visited, to checkout location
- To review selfie photographs captured at each shop visit as proof of physical presence
- To review and manage orders taken by employees
For Employees
- To record and verify the start and end of each working day via check-in and check-out
- To log shop visits and capture GPS location when punching into a shop
- To capture a selfie photograph as visual verification of physical presence at the shop at the time of the visit
- To place and manage customer orders from visited shops
- To maintain an accurate and auditable daily activity record
We do not sell your personal data to any third party, we do not use it for advertising purposes, and we do not send any push notifications or marketing communications.
Location Tracking
Location access is a core feature of Retail Pulse for employee users. The app captures GPS coordinates at the following specific moments:
- Check-In — When an employee starts their workday, their location is recorded
- Shop Punch-In — When an employee taps on a saved shop to begin a visit, their current GPS location is captured
- Check-Out — When an employee ends their workday, their location is recorded
Admins can view the captured location data of their employees to monitor field activity, verify visits, and review daily routes. This location data is visible only to the admin of the employee's own company.
Employees are informed at the time of onboarding that their location will be captured at check-in, shop punch-in, and check-out. By using the app, employees acknowledge and consent to this location capture.
Location permission can be revoked from device settings at any time, but doing so will prevent check-in, punch-in, and check-out from functioning correctly.
Camera & Selfie Verification
Retail Pulse requires access to the device's front camera to capture a selfie photograph when an employee punches into a shop visit. This is used as visual proof of the employee's physical presence at the shop at the time of the visit.
When Camera Access is Used
- Shop Punch-In Only — The camera is accessed solely at the moment an employee taps to begin a shop visit. No camera access occurs at any other point in the app.
- The selfie is automatically captured and saved as part of the shop visit record along with the timestamp and GPS location of that visit.
How Selfie Photos Are Handled
- Selfie photographs are stored securely on our servers and are linked to the specific shop visit record they belong to
- Photos are accessible only to the admin of the employee's own company — they are never shared with any third party
- Photos are used exclusively to verify field attendance and shop visit authenticity within the organisation
- Selfies are retained for as long as the associated company account remains active, or as required by applicable Indian law
- Upon account deletion or an employee's removal from the platform, associated selfie photographs will be permanently deleted within 30 days
Employees are informed at the time of onboarding that a selfie will be captured at each shop punch-in. By using the app, employees acknowledge and consent to this camera use.
Camera permission can be revoked from device settings at any time, but doing so will prevent the shop punch-in feature from functioning correctly.
Employee Monitoring & Transparency
Retail Pulse includes features that allow admins to monitor field employee activity. This is a core business function of the app. The following monitoring features are present:
- View employee check-in and check-out times and locations
- View the list of shops visited by an employee and the punch-in location for each visit
- View the selfie photograph captured at each shop visit as visual verification of attendance
- View orders placed by each employee
- View attendance records
Employees are encouraged to speak with their admin if they have questions about how their activity data is stored or used within their organisation.
Identity Documents
When an admin adds a new employee to Retail Pulse, an identity proof document (such as an Aadhaar card, PAN card, or similar government-issued ID) may be uploaded as part of the employee profile.
- This document is stored securely and is only accessible to the company admin
- It is used solely for internal employee verification purposes
- It is not shared with any third party under any circumstances
- Employees may request to view or delete their identity document by contacting their admin or reaching us directly
Third-Party Services
Retail Pulse uses the following third-party services that may collect certain data as described in their own privacy policies:
- Google Maps SDK — Used to render interactive maps within the app, allowing admins to visualise employee check-in, shop punch-in, and check-out locations on a map. Subject to Google's Privacy Policy.
- Google Maps Directions API — Used to display route paths between the location points recorded during an employee's working day, giving admins a clear view of the daily field route. Subject to Google's Privacy Policy.
We use only the two Google Maps services listed above. We do not use any analytics, advertising, or crash reporting SDKs. No personally identifiable information — including selfie photographs — is shared with any third party beyond what is technically required for the Google Maps features to function.
Data Storage & Security
Your data is stored on secure servers. We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction.
- All data is encrypted in transit using HTTPS/TLS
- Sensitive files such as identity documents and selfie photographs are stored with restricted access
- Access to production systems is limited to authorised Vengurla Tech personnel only
- We retain your data for as long as your account is active, or as required by applicable Indian law
- Upon account deletion request, your personal data — including selfie photographs — will be permanently removed within 30 days
While we take data security seriously, no method of transmission over the internet is 100% secure. We encourage all users to keep their login credentials confidential and report any suspected unauthorised access immediately.
Your Rights
As a user of Retail Pulse, you have the following rights regarding your personal data under applicable Indian law (including the Digital Personal Data Protection Act, 2023):
- Access — Request a copy of the personal data we hold about you, including selfie photographs linked to your shop visit records
- Correction — Request correction of inaccurate or incomplete data
- Deletion — Request deletion of your personal data, including identity documents and selfie photographs (subject to legal retention obligations)
- Withdrawal of Consent — Withdraw consent to location data capture, camera access, or other processing at any time
- Grievance Redressal — Raise a complaint if you believe your data has been mishandled
Employees whose data is entered by their admin (such as name, phone, ID proof, and shop visit selfies) may contact us directly to exercise these rights. To exercise any of these rights, please use the contact details in the section below.
Children's Privacy
Retail Pulse is a professional business application intended for use by adults only. We do not knowingly collect personal data from individuals under the age of 18.
If you believe a minor has been registered on the platform, please contact us immediately and we will take steps to remove such information promptly.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in the app, our practices, or applicable laws. When we do, we will:
- Update the effective date at the top of this page
- Update this page with the new policy — we recommend checking it periodically
We encourage you to review this policy periodically. Continued use of Retail Pulse after changes are posted constitutes your acceptance of the updated policy.
